Terms of service
Last updated 14 October 2026
These terms apply when you use Hodworth — the website, the web app and the Hodworth Field mobile app. By creating an account or using the service you agree to them. Please read them alongside our privacy policy.
Who you are agreeing with
Hodworth is provided by Hodworth, 6 Buckswood Drive, Crawley, RH11 8HP, United Kingdom. Contact: support@hodworth.com.
Accounts
- You must be at least 18 and able to agree to these terms, for yourself or for the company you act for.
- Give accurate details and keep your password private. You are responsible for what happens under your account.
- Tell us straight away at support@hodworth.com if you think someone else has used your account.
Workspaces
A workspace belongs to the company that created it. Its owners decide who is invited and what each person can see and do. If you were invited by your employer, your access is theirs to give and to withdraw.
Each workspace has one primary owner — at first, the person who created it — who acts for the company in the decisions that cannot be undone. Only the primary owner can delete the workspace or hand primary ownership to another member, and both need their password and, if they use one, their authenticator code. Other owners cannot demote or remove the primary owner. The company is responsible for keeping the primary owner someone it trusts with those decisions.
Your data
You own what you put into Hodworth. You give us permission to store, process and display it only so we can provide the service to you and your workspace. We do not sell it. How we handle personal information is set out in the privacy policy.
Trials, plans and billing
- A new workspace starts with a 14-day free trial of the Pro plan. No card is needed to start it.
- Paid plans are billed in advance, monthly or yearly, through Stripe. Prices are shown on the pricing page and exclude tax.
- Plans are bought and managed on the website by the workspace’s owners. Nothing is sold inside the mobile app.
- You can cancel at any time from your account. Cancellation takes effect at the end of the period already paid for, and the workspace keeps working until then.
- If a payment fails, the workspace keeps working for a grace period while payment is retried, then is paused until the account is brought up to date.
Acceptable use
Do not use Hodworth to:
- break the law, or store content you have no right to store;
- try to get into workspaces or accounts that are not yours, or test the service’s security without our written permission;
- upload malware, or overload or disrupt the service;
- resell or copy the service.
We may suspend an account or workspace that breaks these rules, and will tell you why unless the law or safety prevents it.
The service
We work to keep Hodworth available, secure and accurate, and we change and improve it over time. Figures it produces — tax, payroll, profit — are calculated from what you enter, and do not replace advice from your accountant. To the extent the law allows, the service is provided as it is, and our total liability to you for any claim is limited to the amount your workspace paid us in the twelve months before it arose. Nothing in these terms limits liability that cannot be limited by law.
Ending your use
You can stop using Hodworth and delete your account at any time. Workspace owners can export their figures and reports before they leave. If you are the primary owner of a workspace other people still use, you hand primary ownership to one of them, or delete the workspace, before deleting your account.
Deleting a workspace
The primary owner can delete a workspace at any time, on the web under Settings → General, or in the app under Settings. Before deleting, the primary owner can download all of the workspace’s data with Export workspace data on the same page. Deleting it applies to everyone in it:
- every member loses access straight away and is told by email;
- a paid subscription ends at once and is not billed again. Fees already paid are not refunded, unless the law where you live says otherwise;
- for 30 days the workspace, its files and its web address are kept, and the primary owner can restore it as it was. A restored workspace whose paid plan was cancelled starts a trial, and a plan has to be chosen again;
- after 30 days every record and uploaded file is permanently erased, and the workspace’s web address becomes free for anyone to use. We cannot restore it, or any of its content, after that — so export what you need first.
Members keep their own accounts and any other workspaces they belong to. What we keep after a workspace is deleted, and for how long, is set out in the privacy policy.
Changes to these terms
If we change these terms we will update the date at the top of this page, and give account holders notice by email or in the app before a significant change takes effect. Continuing to use the service after that means you accept the new terms.
Governing law
These terms are governed by the laws of England, and its courts have jurisdiction over any dispute, except where the law where you live gives you the right to bring a claim there.
